I think that your first step would be to settle on a range of dates and run them by Donaldson's agent (or whomever he uses to make his schedule) to find out when he's available, and if he would charge a fee or anything. If you look at George R.R. Martin's website, he's being booked for conferences and what have you on into 2005!
If you can come to an arrangement with Donaldson's agent, I think that the rest would flow naturally from there.
Yes, a park with a shelter and a bunch of picnic tables would be great! Maybe pizza/cold pop or a group barbecue after? It shouldn't be too expensive if everyone attending throws in a few bucks towards shelter rental and pizza/pop/food/beverages.
I've had to plan my share of family reunions for both mine and my husband's families, and the hardest thing is always coming up with an acceptable date. After that, it's pretty easy.
Maybe Jay could even design a special shirt for you at the Kevinswatch store?? At one of the family reunions I did I got white t-shirts with a simple design (family name, date of reunion, map of state where reunion was held) and we all tie-dyed them together as a group activity. It was a blast!
Incidentally, I don't think I can come, my job is very strange about vacation scheduling, but thought I'd throw in my two cents anyway since I've had to plan/help plan all of those reunions.

It's just that the last reunion (I only planned the anniversary party part for that one, not the entire thing) was in June in Utah, and people were wilting. I was one. My sis nearly drove me to the hospital in St. George because, well, let's not go there, OK? I just don't want Danlo to run into similar problems with HIS guests!
The desert heat is something, if you're not used to it, my fellow Northerner! You think you're drinking enough water, but if you're outside and active, you might be in more need of water than you realize...and the next thing you know, you can't pee.

ok if its an overnighter .. which on such a long distance trip it might be .. then .. a bbq .. everyone throwing in a couple of bucks for snags and steak or burgers ..
